Repeated Candidate Response to the Same Position

Historically, a single candidate could only respond once to the same position. However, there are cases where such "duplication" is desirable (e.g., for long-term open positions, the same candidate may apply again a year later) or the absence of such an option causes problems (e.g., an automatic response to the candidate is not sent if the "duplicate" response is not allowed).

How does it work?

  • Two or more responses for the same candidate are created on a given position
  • In the position detail, you can recognize them by a red "!" icon next to the button with the current status
  • Technically, however, these are two independent responses, so they can have different creation dates, source names, attachments, etc.
  • If you click on any of these responses, you will always be redirected to the same candidate card (so you don't have to search for the second response in a complicated way)
  • Action history and notes are shared across all candidate responses, including these repeated ones
  • Since these are two independent responses, you can reject one of them and continue with only one, if there are two current responses to an active position

Frequently Asked Questions about Repeated Responses:

  • Can we disable repeated responses?
    • If you want to completely disable repeated candidate responses to the same position, contact our support and we will disable the feature for you. You cannot turn this on and off yourself.
  • A repeated response created a duplicate candidate for me, how do I get rid of the second one?
    • A repeated response does not create two candidate cards (i.e., duplicate candidates), only two responses from the same candidate.
    • So there is no need to delete anything - both responses are recorded on the same candidate card, sharing notes, action history, etc.
  • How do I quickly find the second response if the candidate responded a long time ago?
    • You don't have to search for the candidate by name, etc. in a complicated way - just click through to the candidate card via any of their responses or from the talent database - you will find all responses including repeated ones in the "Applied to Positions" section (again marked with a red "!" icon).
  • What should I do if I want to delete one of the repeated responses?
    • First, consider whether you really want to delete it - it contains important data for reporting about the response source, date and time of creation, it may also contain different attachments than other repeated responses, etc.
    • If there are two active responses to an open position and the candidate, for example, responded once through career pages and once through jobs.cz (so this is not a scenario where the candidate responded a year ago when the position was open last time), we recommend rejecting one of the responses and continuing with only one. Here, just be careful not to send a rejection message and turn off NPS to avoid confusing the candidate.
    • If you really determine that you want to completely lose the data from one response and want to delete it, you must do so using the "Remove from Position" action, which is available in bulk actions in the position detail after selecting one or more responses to the position. Do not use the "Permanently Delete Candidate" action on the candidate card - this would irreversibly delete all content of the candidate card. That is, you would lose all personal data, notes, history, other responses to other positions, etc.
