Setting up multiple calendars

Within the Links menu for booking appointments  (link)  there is an option to select multiple calendars to be evaluated for a given type of interview - i.e. to offer applicants free dates that match the available slots in all marked calendars.

How does it work in practice?

  • Within the booking link you define:
    • Which calendars are taken into account for the calculation of election dates (you can select one, two or more)
    • What slots (time slots) are to be offered to applicants
    • If the link works with online meetings, you define a default calendar for scheduling them (e.g. to avoid creating multiple links for online meetings, etc.)
  • You will send an email to the candidate informing him/her to select a vacancy based on the selected reselection link
  • Candidates will only be offered available dates in the link based on the intersection of the defined slots, the calendars being considered, and the length of the interview

In this example, we see a scenario where a recruiter defines a booking link for a candidate to select dates so that the availability of the recruiter and CEO is evaluated.

The booking line is defined as offering available slots for 60 minute appointments Monday through Friday between 9:00am and 12:00pm.

There is no event in the recruiter's calendar that would block availability, the CEO has one event on Tuesday morning between 8:00 and 9:30 that conflicts with slot availability - therefore the candidate is not offered a slot from 9:00 on that day.

 

💡 What general rules does this imply?

  • The bidder only sees slots where there is no event in either calendar (i.e., in the example above, the CEO has a "Planning" event from 8:00 to 9:30 and therefore the 9:00 slot cannot be offered because the booking link is defined as 60 minute slots from 9:00 to 12:00 and there would only be 30 minutes of CEO time left)
  • The availability of available slots is evaluated in real time - i.e. the event that the CEO has there may not have existed at the time the reservation link was defined, and vice versa.If a pre-populated event is cancelled by the CEO, the slot will be offered again.
