Analytics - Requests Report

Purpose

The purpose of this report is to show how recruitment is meeting the hiring requirements specified in position opening requests (so-called requisitions). Requirements are recorded in the form of FTE (or "Full-Time Equivalent", which is a standard way of expressing work commitment)

Principle of Value Display

From the purpose described above follows the principle of display - the unit for row output is not the requisition, but exactly 1 FTE (or less). So, for example, if you are looking for 3 FTE within a requisition, initially the requisition will be displayed with 3 rows without hired candidates.

  • If you hire 1 candidate for full-time (i.e., 1 FTE), one row will be filled with candidate information, the other two will remain empty
  • If you hire one candidate for half-time (i.e., 0.5 FTE), one row will be filled with 0.5 FTE value, but 3 will remain empty - two with 1 FTE value and one with 0.5 FTE value, so that 2.5 FTE still remains to be filled
  • The number of FTE for calculation is taken from the offer to the candidate. It does not have to be necessarily approved, but must contain information about the FTE value.

For reading the report, this principle can be used for these quick conclusions:

  • If you sum up the FTE values in the entire report, they will equal the number of FTE you are looking for in the given requisitions
  • Empty rows in the right part of the report (in the hired candidates section) indicate unfilled FTE on the listed requisitions

Filtering

Filtering is very simple and contains only:

  • Status
    • Currently open
      • open requisitions
      • only unfilled FTE under the given requisition are displayed
      • no time filter is applied
    • Filled in given period
      • show only closed requisitions, or rows with filled FTE from open requisitions
      • FTE is included in the report if the offer was accepted in the filtered period (OFFER ACCEPTANCE column)
    • Created in given period
      • open and closed requisitions are shown, therefore both filled and unfilled FTE
      • then all requisitions and all FTE are shown
  • Date (i.e., time range)
    • this field appears only if the "Currently open" filter is not selected
    • for Filled in given period and Created in given period filters, different values are filtered each time
      • Filled in given period - offer acceptance date
      • Created in given period - requisition creation date
    • for the "Currently open" filter, all currently open FTE are filtered regardless of creation date and the time range is therefore not displayed

In the default setting, i.e., when switching to the report, currently open requisitions are displayed.

Description of Individual Report Values

A. ID

  • Requisition ID in Recruitis ATS

B. REQUEST NAME

  • Requisition name in Recruitis ATS

C. POSITION ID

  • ID of the position assigned to the given requisition

D. POSITION NAME

  • Position name as entered in Recruitis ATS
  • If there are multiple positions under the requisition, the value "multiple positions" is displayed

E. REQUEST OPEN

  • Information about whether the requisition is currently in open status

F. POSITION OPEN

  • Information about whether the position is currently in open status

G. DIVISION

  • Loaded from the organizational structure during user synchronization from SF

H. SECTION

  • Loaded from the organizational structure during user synchronization from SF

I. HIRING MANAGER

  • Names of people with whom the position was shared and have manager rights or lower

J. HIRING PERSON

  • Name of the approver specified in the requisition

K. RECRUITER

  • Person who took over the requisition or is the author of the position resulting from the requisition

L. RECRUITER 2

  • Filled in case the position was shared with more people with recruiter rights and higher (i.e., not managers)

M. HRBP

  • HRBP loaded from the organizational structure during user synchronization from SF

N. FTE

  • Number of sought FTE (one row always contains a maximum of 1 FTE)

O. CZ/SK

  • Publication flag on career website based on filter item saved with the position

P. PLACES OF ADVERTISEMENT

  • Overview of publication channels where positions from the requisition are currently published within Recruitis ATS

Q. REASON FOR SEARCH

  • Reason for opening the position as entered in the position editor in Recruitis ATS

R. SEARCH

  • Dropdown list "Internal" or "External" (based on publication channels - "intranet" adds the internal part)

S. REQUEST FOR SEARCH

  • Requisition creation date

T. STARTING DATE OF SELECTION

  • Opening date of the position created from the requisition

U. SELECTION STATUS

  • Custom dropdown ("Canceled" - closed without hired; "In progress" - open requisition; "Closed" - Hired candidate, closed requisition; "On hold" - open requisition and closed position when not meeting the number of sought FTE)

V. OFFER ACCEPTANCE

  • Offer acceptance date (i.e., offer sent through Recruitis ATS offer management)

W. NAME OF SELECTED CANDIDATE

  • Hired candidate name (clickable link to candidate card)

X. MALE/FEMALE

  • "Gender" flag from the candidate card

Y. TYPE OF EMPLOYMENT CONTRACT

  • Type of employment from onboarding form data ("Employee", "Contractor", "Agency workers", etc.)

Z. INTERNAL/EXTERNAL CANDIDATE

  • Flag whether it is an internal candidate (based on the "Internal recruitment" functionality within Recruitis ATS)

AA. START DATE

  • Start date from onboarding form data

AB. CANDIDATE SOURCE

  • Source of the hired candidate's application

AC. TIME TO FILL

  • Calculated value - time from requisition creation to candidate's offer acceptance

AD. TIME TO ACCEPTANCE

  • Calculated value - time from candidate creation to candidate's offer acceptance

The analytics feature is available by default in the Enterprise license and higher.
